• Retrieve and maintain all SPO(s) and logistictransactionreports from the Enterprise Resource and planning (ERP)Oracle system.Prepare follow-up delivery sheets/Expediting report of alloutstandingdeliveries and updates relevant Procurement Officers anduserdepartments accordingly.
• Contact Vendors, Contractors and/or Suppliers officiallytoobtain up-to-date status of outstanding materials or equipment.
• Ensures that Procurement Officers/Engineers andUserDepartments are kept fully informed of status of order and,wheneverpossible, expected date of delivery and a regular progressreports onoutstanding and delayed delivery, and those partiallydelivered or intransit is prepared.
• Verifies the supplier delivery date against the SPOpromiseddelivery date and apply the penalty/liquidated damages wheneverthesupplier does not meet the delivery promised date. Providejustificationof waiving the penalty/liquidated damages to ITC and MOGTBC if required.
• Produces periodic statistical reports to the SupplyChainManager and Procurement & Logistics Section Head ontheSupplier/Vendor delivery performance.
• Prepares a variety of shipping documents requiredtofacilitate import/export in-out Oman. These include billoflading, exemption of duties letters, and certificate of originandensure to keep a record of all related clearing consignment andcustomdocuments that comply with MOG and Finance Department import&export procedure.
• Completes receipt note for materials received andinformsuser Department where technical inspection is required andhandlescorrespondence Email, faxes/telexes, etc. withsuppliers/vendorsrequesting information or decisions on requirements
• Carries out other similar or related duties suchas:completing documents for processing of insurance claims for(OSD)materials, attaching all relevant documents, includinginspectioncertificates, entering and updating information in thesystem,maintaining pre-qualification files, reportingvendor’sperformance, etc. Arranges the re-export ofmaterials wronglysupplied or damaged, including export licenses and transportation.
• Whenever required, conduct the activity of Scrap/writtenoffmaterials, equipment, vehicles..etc collection/recording andinitiatethe auctioning process for selling those scrappedmaterials/written offitems in accordance to MOG guidelines
• Whenever required, assists the Material Analyst inconductingMin/Max replenishment planning and issue purchaserequisitionaccordingly. Liaise with the Procurement Officers in order toreplenishthe stock on time.
• Whenever required, Coordinates and participates inperiodicinventory/Stock taking to verify that stock records tally withPhysicalstock. Investigates shortages/overages and recommends correctiveaction.Prepares Recommendations to reduce/dispose of over-stockedmaterials.Ensures that all documents related to stock movement,descriptionand vocabulary, are properly filed and that documentsrelatedto stock movements are dispatched to receiving parties
• Ensure that company HSE Policies and Procedures arefollowedand that safety is maintained in office and workplaces andparticipatein all HSE Programs as and when required
• To carry out any other reasonable duties within theoverallfunction, commensurate with the grading and responsibilities ofthe job.
المهارات المطلوبة
Minimum Academic Qualifications:
- Degree or Diploma in Commerce or Business Administration or Operation Management or related Supply Chain fields. CIPS membership or other equivalent professional qualification and commercial experience are preferred.
Minimum Work experience:
- Min. 4 years’ experience for Bachelor Degree holders and minimum 6 years’ experience for Diploma holders in coordinating the transportation and expediting the delivery of materials, knowledge in Warehousing and Inventory Management preferably in Oil & Gas industry.
