To take the lead role in liaising with PDO different departments for several businesses related to the school
To take the lead role in liaising with parents regarding enrollment and to ensure that all documentation is completed accurately, and the information entered onto the SIMS system.
To take the lead role in the day to day management and input of data into SIMS.
To raise the profile of PDO School by taking the lead in developing a greater media representation.
To maintain and oversee the school budget operating internal systems and liaising with PDO Finance

Recruitment Liaison:
Supporting the Head Teacher to agree on the recruiting target yearly for the school staffing (PDO contract and third-party contract (Greenfield)
Liaising with the school skill pool manager regarding the school positions, vacant and occupied
Regular checking of the end dated contract of the school staff and communicated the updates of the contract extension between the head teacher and skill pool manager
Liaising with the skill pool manager to agree on the starting point of the recruitment process
Taking the lead on the process of shortlisting by getting access to the requisition
To be responsible to prepare the paperwork for the interview panel
Manage the weekly meeting with the recruitment and arrival team
Filling the MOE form to obtain required approval
Liaising with candidates to ensure support available and time scales are met for the academic year
Monitoring the recruitment of the school Learning support assistants
Filling the online pro-forma for every new LSA in order to seek approvals for recruiting
Filling the extension online pro-forma for the existing LSA in order to seek approvals for extension
Checking the offer provided to the LSA to align with PDO recruitment policy and country manpower Regulations
Providing the hourly rate sheet and calculating the exclusive daily rate
Approving the online timesheets for the LSA through Fieldglass system
Team Leader:
Leading the admin team, facility manager and supervising their attendance and punctuality and performance management
Establishing and developing regular team meetings to support team collaboration and the sharing of information ensuring progress of planned projects and timely delivery
Separate the roles and responsibilities among the team and monitor their performance using PDO performance management system
Ensuring the administration team is engaged through their clear understanding of individual roles and responsibilities
Planning effectively with the admin team to ensure consistency and equal opportunities throughout school
Writing and sharing agendas and minutes, distribution of minutes for a range of different meetings including Board meetings and UCMP, PCT, UIB and UIC
Ensure the school has Standard Operation Procedure (SOPs) for all admin systems.
Liaising with staff regarding cleaning contract OIG monitor timing punctuality. awareness of sickness reporting to team leader regarding complaints or additional requirements
Liaise with the PDO security department to agree on the duties of the school guard and timings of opening school gates.
Ensure staff and pupil safety through liaising with the HS team and Fire team during planned evacuations and inspections
Holder of whole building keys
Finance Lead:
Dealing with PDO finance team by providing the required details to allocate the school yearly budget
Attending ongoing meetings with PDO finance team to go through the assumptions, providing justifications of under/Overspend on monthly basis, prepare the date for the LE quarterly
Lead the access to PDO School finance report through SAP to consolidate and compare the data to the internal School finance report
Presenting to the Board on PDO School financial position and how the school monitors the budget and how the school has prevented an overspend
Allocate the budget to the different departments in the school based on the needs of the school learning development plans
Helping, contacting and supervising the school teachers (budget leaders) quarterly by sending their expenditure breakdown
Authorization of payment, creation of work order, manual purchase requisition, purchase order, service entry, payment voucher and manual payment
Monitoring and auditing the Pro-Card system and Petty Cash system
Monitoring the school fees based on the PDO education assistant policy and maintain regular check of PDO School fees to align with other international schools
Liaise with the school board members to agree on the school fess for PDO and Non-PDO families.
Creating the school fees invoices for PDO and non-PDO families
Responsible to fill the required data into SAP Info-type21 for the school Fees and Uniform Fees deduction
Liaising with PDO different contract holders and contract engineers to facilitate the needs of different school requirement including resources orders, catering order, IT equipment order and building maintenance and project jobs.
Checking, supervising, approving and creating the payment for the school minor and major building maintenance and projects
Compiling, researching ordering school resources in different countries and currencies and ensuring that these arrive at school on time. Dealing with the shipment and transport to the school
Working with the new TAX plans and analyzing how the school will be impacted by the changes
To be responsible of the school uniform system by finding the good supplier, checking the quality of uniform, agree on the cost, sizes, designs and colors, managing the stock management of the uniform, organization the school uniform shop, agree on the cost charged to the parents adding the administrative cost, creating the invoice and deduction the fees.

SIMs system Manager
To be responsible for maintaining an up-to-date and efficient data base of all pupil details using SIMS.
To ensure classes are set up correctly for teaching personnel within data base
To be responsible for the update of records for children when leaving or starting school using the Common Transfer Files and S2S website. Liaise with Admissions as required.
Allocate UPN numbers within the database.
Input of exclusions (monthly report to LA), SEN information/ assessment data, meeting deadlines for reporting such data.
Produce reports using SIMS.net applications (class lists, mail merge, forms etc)
Manage attendance records using SIMs.net, overseeing input of attendance information and producing reports as required.
To ensure weekly registers and absence sheets are prepared.
Enrollment
To be responsible for liaising between school and parents with regards to enrollment.
Maintain pupil records including waiting lists for pre nursery and nursery and transfer list for secondary schools.
Media Focus
To actively promote the development and update of the school website in respect of school fees uniforms.
To explore new avenues for the school to harness in terms of media representation.
Other Administrative Procedures
To carry out such other duties as reasonably correspond to the general character of the post and are commensurate with the level of responsibility.
