Budget Management
• Ensure budget inputs for ICT are completed by ICT Management • Ensure baseline budget of all departments is shared as well as expenses and Forecasts are updated on monthly basis. • Report budget variances and document them in the system. • Update budget forecast on monthly basis. • Issue monthly budget variance report and share budget Forecast reports with other departments. • Maintain training budget for ICT employees, track expenses and communicate with HR. • Respond to budget related queries from other departments • Provide ICT budget reports related to other departments Maintenance of Contracts Register • Ensure planned contracts inputs for ICT are completed by ICT Management. • Handle proper coordination of contracts updates between ICT and Procurement department. • Follow up and make sure actions of expired renewals & contracts are completed and updated. • Update ICT teams regarding contracts renewals and status periodically. • Procurement Cycle Management • Ensure Procurement guide & life cycle is understood and followed by the team. • Raise all ICT related sourcing requirements and follow up with Supply Chain Management team. Change Management • Change management (IRC coordination), preparing minutes, letters, reports, articles, or other materials of an important or confidential nature from general instructions, or personal knowledge and research. Telecom Contract Management Manage the high level telecommunication contracts. Invoice Management • Maintain the received invoices from Finance Dept along with all support documents. • Assist to get all required approvals for the invoices and ensure they are registered. Payroll & Petty Cash Management • Share Monthly Payroll Email deadline to team and send approved OT forms to Payroll team. • Manage availability of petty cash. • Prepare petty cash report and get required approval. Department Administration & Coordination • Manages communications within and outside department, liaising within the department/divisions and external parties handling all modes of communication as instructed by Head of ICT. • Collect and coordinate all different kind of ICT department reports by, analysing, and summarizing data and trends for department performance review and report. • Manage ICT leave plan, update records, and communicate them timely with HR. • Manage ICT staff benefits • Arrange and facilitate weekly / monthly meetings at ICT. Training & Development Coordination • Ensure trainings plan, forms, and budget are allocated and approved. • Assist in requesting proposal of trainings and allocate dates. • Ensure Training Template is documented and recorded.

المهارات المطلوبة

• Diploma in Business Management (with 4-5 years’ experience) or bachelor in the same (with 2-3 years’ experience) . • Experience in office management / administration) • Requires strong computer, Microsoft Office Suite, working knowledge of wide variety of desktop software and Internet research skills. • Required advanced knowledge/experience in MS Excel, creating spreadsheets, formatting cells, organizing analysing data to produce reports (such as budget expenditures reports) • Project coordination understanding, and the ability to work well with all levels of internal management and staff as well as outside clients and vendors. • The post holder should have administrational experience with good communication skills and an aptitude for attention to detail • Flexibility, excellent interpersonal skills and strong organizational skills. • Sensitivity to confidential matters required. • Ability to work under pressure and to maintain efficiency and composure. • Demonstrated commitment to participatory management and a strong service orientation. • Strong interpersonal and communication skills and ability to establish and maintain cooperative and harmonious working relationships. • Preferred skills include experience in organizational role, experience in support services, experience in vendor relations, and relevant experience beyond the minimum requirement. • Excellent communication skills - Fluent English & Arabic. • Delegation skills and Teamwork skills.
