Purpose of the Job

This role encompasses administration & management of the following -
1) Materials Master Data   

 2) E-Catalog Content & Supplier Catalogues

For Materials Master Data Management

•  Oversee and improve the materials coding processes in PDO & ensure on-time creation & updating of material master data to ensure seamless flow of contracting & procurement transactions/processes
• Ensure Material master data elements are exhaustive captured, accurately created, maintained and regularly reviewed to enable data driven decisions by all stakeholders in Materials Management 
• Create, measure, maintain & review Materials Master KPI’s in dashboards and run/develop data rules at periodic intervals to enhance data quality 
• Manage all the interfaces associated with Material Master Data Management (Asset registers, Service masters, Contract Masters, Vendor Masters, Users, Contractors, etc.) 
• Support the Contract Holder managing Material Coding contract & manage performance of Contractor
• Ensure materials master is kept up to date with quality data and free of duplication

For E-Catalog Content & Supplier Catalogues Management 

• Assist & coordinate creation & maintenance of required Catalog content in SAP for use in PDO’s procurement, maintenance, operations & project related processes through 

1. Identifying product categories and procurement scenarios suitable for new Catalog content 
2. Coordinating with PDO warehouses to enrich the Catalog content of stocked material masters in the Catalog through pictures etc. 
3. Liaising with and advising Buyers, Contract Holders and Contract Engineers in regards of communicating with suppliers and manufacturers to provide Catalog content to PDO 
4. Advising the material master team in regards of data quality 
5. Controlling in liaison with Buyers the process of validating Supplier Catalog data both from a data quality point of view and ensuring the appropriate commercial/control checkpoints are in place and executed  
6. Executing the process of approved Supplier Catalog data and ensuring the appropriate end-users are being made aware of the Catalog opportunity
7. Collecting feedback from end users in regards of Catalog usability, quality and completeness of content 

Education & Experience

• Bachelor’s Degree in Engineering, Operations Management, Quantity Surveying, Economics, Business, Supply Chain Management, or equivalent 
• Minimum 5 years of experience in Master Data Management or Demand Management
• Mandatory knowhow and experience with SAP ECC 6 (MM, PM & PS) & SAP MDM Catalog 
• Good understanding of Procurement processes and commercial requirements
• Proven interpersonal, analytical and communication skills
• Should be detail oriented and should be able to multi-task and perform in-depth research
• Should be able to work well in dynamic situations using critical thinking & problem-solving techniques
• Skilled in ability to deal tactfully, confidently & ethically with both internal & external customers
• Competency in Microsoft Outlook, Word, PPT & Excel (formulas, pivots, charts, dashboarding, etc.)
• Proficiency in SAP, SRM, E-String & IT applications to understand & execute process improvements
• Should be able to articulate and quantify issues in a clear and efficient manner
• Should be able to tactically handle contractors (3rd Party), Vendors and Manufacturers
   

Main Responsibilities

• Maintain HSE as first priority and ensure zero LTI no harm to people and environment through compliance to PDO house rule, PDO HSE golden rules and PDO LSR (life saving rules) 
• Work with MDM Data Manager, Import Manager and Import Server to load content from internal and external sources into the PDO Catalog 
• Develop reusable mappings for different data sources and configure import automation where possible 
• Demonstrate Catalog capabilities to PDO stakeholders like Buyers and Contract Holders to raise awareness about content requirements  
• Advise and assist during the engagement of suppliers and manufacturers to obtain Catalog content from these external sources 
• Advise and assist on how Catalog content should be incorporated into contract negotiations 
• Advise the CP Leadership in regards of changes to the material master coding strategy and the use of non-coded, pre-sourced content 
• Monitor end-user utilization of the Catalog and satisfaction with the Catalog content 
• Control and execute Supplier Catalog Content uploads to MDM
• Ensure updating (creation/flagging of obsolete and amendments) of material master data through coordination with the third party vendor- Prumatech by using E-String application 
• Ensure and control that all contracts for materials are uploaded in SAP as outline agreements to pave the way for improved procurement automation 
• Work with end users and buyers to complete gaps and properly setup material data in system (this includes MRP type, criticality, part number updating and all MM fields flagging) 
• Accountable for maintenance of existing and the implementation of new data standards  
• Accountable for both the quality and fast delivery of material master and other related data   
• Implement material standardisation and variety control throughout the company by promoting and participating in pro-active dialogue with customers  
• Implement a stringent screening process of new material master coding requests to avoid duplication 
• Execute and supervise Master Data activity to ensure appropriate Materials Masters are created and utilized 
• Perform mass update of relevant material and inventory data as required by the users 
• Coordinate with the external data coding contractor on content requirements and act as the Content Focal Point for all PDO Master Data Activities 
• Liaise with Maintenance, Project and Commissioning / operational readiness teams to ensure handover data handed over to operations is exhaustive (BOMs, etc.)
• Remain engaged with the business on new incoming projects to address coding data requirements 
• Verify and release SAP changes, CMT and other relevant data changes
• Train and coach staff in standardisation and Master Data maintenance 
• Communicate  to the organization on process improvement and process performance 
• Ensure with Contract Holder that appropriate level of resourcing is put in place to tackle PDO demand for Materials Master 
• Create performance report by comparing system data on E-String and Material Master Data 
• Circulate performance report and follow up on the SLA's of contract with third party and provide RCA to analytics team on weekly/monthly performance and rationale for missed or Red SLA's  
• Learn and understand the working of E-String and its interface with SAP 
• Educate all Material Master Users on item selection procedure 
• Participate in weekly/monthly meetings with buyers and end users and act as an interface between buyer, end users and Prumatech for concerns on material master data
