Purpose of the Job

A proactive Paralegal to join our dynamic Legal Department (consisting of legal team and Ethics and Compliance team). The Paralegal will provide high-quality legal and administrative support to the Legal Department, enabling the efficient delivery of legal services to the company. The Paralegal will assist the legal team in managing legal documentation, conducting legal research, coordinating with internal stakeholders and external counsel, and ensuring compliance with corporate governance and external regulatory requirements. This role requires strong research skills, the ability to handle confidential information, and a solid understanding of corporate legal processes, legal terminologies and contract structures.

Education & Experience

  • Higher Diploma in Paralegal Studies (CILEX) with experience performing paralegal role or administrative functions in a legal department of a commercial enterprise, or a Public entity or a law firm.

    Professional communication skills in both written and oral English and Arabic.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), SAP systems and legal document management systems.

Main Responsibilities

Legal Support

  • Draft, review, proofread and format a wide range of legal documents including confidentiality agreements, standard contracts, resolutions and correspondences.
  • Support contract execution processes, including coordination of signature and archiving.
  • Act as the main point of contact for all commercial registration related matters across the company and oversee the compliance of licenses and registration requirements for each department within the company.
  • Track and monitor the expiration dates and renewal deadlines for licenses, permits and certificates and take necessary actions to update company registration documents. 
  • Conduct legal research using various platforms such as Westlaw, LexisNexis, Qanoon, Decree and/or MJLA to find case law, legal analysis and statutes and summarise findings for review by legal counsel .
  • Assist the lawyers in creating and maintaining guidance notes, template letters and agreements and know-how folders.   
  • Retrieving Company Business Control Documents, as and when requested (i.e. Policies, Code of Practice, Procedures, Specifications) for the Legal Department.
  • Assisting the Legal Department in updating their Policies and Procedures and filing them in the Corporate Management System.
  • Draft official correspondence and letters in both Arabic and English to judicial authorities, government entities or any other third parties under the direction of the lawyers.
  • Enquire from judicial authorities and external counsels in relation to ongoing court cases and update monthly register of PDO court cases accordingly
  • Keep track of all notices and communications from the judicial or other government authorities and log upcoming hearing dates.
  • Support lawyers in collecting and sharing relevant documents and evidence to support ongoing claims and disputes in a timely and orderly manner.
  • Handle, classify and file all incoming and outgoing correspondence.
  • Update the Legal Department Library and order new books if required.
  • Update the website for the Legal Department as a key means of communication between the Legal Department and the PDO community.
  • Support the Legal Department to draft the legal business plan and track the agreed Key Performance Indicators (KPIs).
  • Perform tasks of typing / editing / formatting / saving/ checking/ verifying / proofreading /searching /versioning all legal documents.
  • Creates and maintains effective filing systems and know-how folders

  • Administrative Support
  • Support the Legal Department in organizing trainings, know-how days, preparing presentation material, maintaining the lists of individuals to be invited for regular mandatory trainings, room bookings, collecting feedback, and ensuring that the organization of the trainings is handled professionally and efficiently
  • Arrange team meetings including recording the minutes and action plans and tracking the same.
  • Ensures performance reviews for all staff are completed annually on the set deadline.
  • Arranging venue reservations, IT support, and hospitality arrangements for team events whenever required.
  • Onboarding of new starters including ensuring facilities and supplies are ready for first day.
  • Archiving from time to time.
  • Arrange supply of office stationary, IT hardware and office furniture.   
  • Organize & coordinate the delivery & driver requests.
  • The safe filing (whether as a hard copy or electronic format) of original Agreements and performance bonds.
  • Arrange gate passes for Legal Department visitors including booking meeting rooms, parking bays and hospitality support where required.
